Amending a patient’s Health and Care (H&C) number in EMIS Web is an action that might be necessary for various reasons. Typically, this is required when the Health Authority has updated or corrected the patient’s H&C number but prefers not to notify stakeholders through GP Links. This process ensures that your local records reflect the most accurate information, protecting against potential identification errors and ensuring consistency in patient data management.
Steps to Amend a Patient’s H&C Number
Follow these steps to manually amend a patient’s H&C number in EMIS Web:
- Ensure you have the appropriate permissions by including the B1680 ‘Manage Demographic Duplicate Records’ in your RBAC role profile.
- Access the Registration Workflow by clicking on the EMIS Web menu and navigating to Workflow > Workflow Manager.
- In the Workflow Manager Registration screen, click on Actions and select Amend H&C Number.
- Select the patient whose H&C number needs to be amended and confirm your choice by clicking OK.
- The existing H&C number will be displayed. In the New H&C Number field, input the updated number provided by the Health Authority.
- Confirm the change by clicking OK, and the new H&C number will be applied to the patient’s record locally in EMIS Web.
Note: Manual changes to a patient’s H&C number are solely reflected in your local EMIS Web system. These modifications do not trigger GP Links transmissions, preserving the internal record's integrity.
Updating H&C numbers can mitigate potential administrative errors and streamline patient management for clinicians and practice staff.
