To successfully register and file a patient’s record via GP2GP at a receiving organisation, follow this standard procedure:
Step 1: Patient Identification and Registration
Upon receiving a new patient, utilise the appropriate tracing service for your region (PDS for England, WDS for Wales, HCN for Northern Ireland) to identify the patient. If these services are temporarily unavailable, register the patient as a temporary patient and update their status to a regular patient once the services become available.
Step 2: Record Request and Receipt
Once the patient is registered, EMIS Web will automatically handle the transfer request between practices. If the transfer is successful, the patient's medical record will appear in the Records Received – Unfiled folder within the Workflow Manager.
If the GP2GP transfer process is successful, patient records can be seamlessly integrated into your practice system, saving valuable time traditionally spent chasing paper records.
Step 3: Filing the Record
Within the Workflow Manager, under the GP2GP section, select the patient's task from the Unfiled records and review it carefully. Once satisfied that it is the correct and complete record, proceed to file it as a record. This ensures that the patient’s past medical history becomes searchable and integrated into your practice’s clinical system.
In the event of degraded data or missing information, certain tasks may be generated. These should be addressed individually to ensure comprehensive record completion.
If a record transfer fails, refer to your regional guidelines for handling integration failures and consider obtaining the physical records to maintain continuity of care.
