To register a new patient using the Personal Demographics Service (PDS) trace in EMIS Web, follow these steps to ensure accurate registration and data synchronisation:
Access Registration
Start by logging into EMIS Web using your smartcard, which is necessary for accessing PDS functionalities. Click the EMIS Web menu, navigate to Registration, and select Registration.
Using PDS Trace
Once on the Registration screen, click Add Patient and select Regular since a GP2GP request requires the patient to be registered as regular. On the Patient Trace screen, fill in all known patient information, highlighted by a red asterisk (*) for mandatory fields. If you have the NHS number, this alone is sufficient for matching.
If your initial match attempt fails, the advanced PDS trace function allows you to amend patient details and retry, increasing the chance of a successful match.
Proceeding with Registration
After inputting the data, click Find.
- If a single match is found, verify the patient’s details and then select Register Patient.
- If multiple matches are shown, choose the correct patient from the list before proceeding to registration.
Resolving No Match Situations
If still unmatched, you can create a new patient entry or attempt another search after gathering more patient information. Be diligent in checking all identifiable information to avoid incorrect record transfers.
Note: Register the patient as a temporary entry if you lack the necessary smartcard or if the PDS is unavailable, and update this once PDS access is restored.
