The Patient Trace tool in EMIS Web is an essential feature designed to prevent duplicate patient registrations by leveraging the Health and Care Number (HCN) system. Here's how to effectively use it:
Using Patient Trace
When attempting to register a new patient, the Patient Trace screen emerges to guide the process:
- Enter Demographic Details: Fill in mandatory fields such as Family Name, Gender, and Date of Birth. You can use wildcard searches if you are unsure about spellings, for example, type Sm* for "Smith".
- Initiate Search: Click Find to begin searching first within your organisation, followed by the HCN registry if no local match is found.
- Register or Update: If a match is found, you can easily switch to the found patient’s record. If not, proceed to add the patient using the regular registration features.
Re-registration of Inactive Patients
With Patient Trace, there's the option to re-register patients who are inactive in your organisation without creating redundant entries.
"Using Patient Trace can efficiently minimise duplicate records, enhancing data integrity and preventing unnecessary administrative burdens."
Managing Information in Patient Trace
The Patient Trace screen includes tabs for Local Patients and HCN Patients. Conduct primary searches in the local database before expanding to the wider Northern Ireland registry.
